COVIDSafe Conference Guidelines

The Conference Hosts and Conference Manager will closely follow Government recommendations to deliver a COVIDSafe conference. Guidelines will be in place to ensure attendee health and safety. Your support is also essential to keep this event COVIDSafe. We ask that attendees observe good hygiene and physical distancing at the event, where possible. If you are feeling unwell, please do not attend the conference. Please email the Conference Manager at least 24 hours prior to the conference if you are unable to attend due to illness. Under these circumstances a transfer of your registration to a colleague will be accepted at no cost. If Government restrictions impact your ability to attend, or the Conference Hosts’ ability to hold the conference, the Conference Manager will be in touch to discuss your registration.

Scholarships

ICAZ recognizes that the cost of conference attendance is financially difficult for many. To this end, ICAZ will be offering several scholarships, with details forthcoming.

      By registering to attend the conference, all attendees and speakers agree to the following terms and conditions: 

      Registration Confirmation

      Your completed registration and successful payment will be automatically acknowledged via email with confirmation and tax invoice. If you do not receive an email within 10 minutes, please check your junk mail folder. If another copy is required, please email icaz@watermarkevents.com.au. Your registration will only be confirmed upon full payment of fees.

      Payment
      Payment at time of registration is required by credit or debit card. Accepted credit/debit cards are Visa, MasterCard and AMEX. Please note credit card fees of 1.98% for Australian credit cards and 2.98% for International credit cards apply. Transactions will appear on your statement as ‘Watermark Events’, our registration technology provider.
      Cancellation

      Cancellations must be made in writing via email to icaz@watermarkevents.com.au. If cancellation is not received in writing, the registration will not be cancelled and a refund (if applicable) will not be processed.

      Cancellations made more than thirty (30) days prior to the conference start date will be refunded, less 25% of the registration fee to cover administration costs. No registration refunds will be made after this date, however registration may be transferred to a substitute delegate.

      Insurance
      Registration fees do not include insurance.  It is strongly recommended that attendees take out insurance covering cancellation fees for registration, travel and accommodation, medical expenses, as well as personal injury and loss or injury to property, including baggage.  

      Neither the Conference Host nor the Conference Managers take any responsibility for any attendee failing to arrange their own insurance, and are in no way responsible for any claims concerning insurance. In the event of industrial disruptions or force majeure, the Conference Host and the Conference Managers accept no responsibility for losses incurred by attendees. 

      Disclaimer
      The conference reserves the right to cancel, modify or alter any aspect of the conference venue, schedule and delivery at their sole discretion and without notice. Neither the Conference Hosts nor the Conference Managers will accept any liability for any loss or inconvenience caused to any party due to such changes.
      Privacy

      The Conference Hosts, the Conference Managers and the registration technology provider comply with Australian privacy regulations and are committed to protect the right of the individual to privacy of their information.

      Your personal information will not be sold to third parties.  If you believe that any information we are holding on you is incorrect or incomplete, please email the Conference Manager who will correct the information. You may also withdraw your consent for use of your information by writing to the Conference Manager. 

      We require your information to provide you with information regarding the conference and to facilitate your participation in the conference. Information collected in respect of your proposed participation in any aspect of the conference will be used for:

      • Confirming your attendance and participation in the conference;
      • In the Attendee List published for the conference;
      • Provided to organisers of future occurrences of this conference;
      • May be used to provide you with information of other relevant conferences in your area of interest.

      The parties who will have access to your information are the Conference Hosts, the Conference Managers, and any future organisers of the conference.

      By registering to participate in the conference you are giving your consent to the above, for the purposes of compliance. However, you may withdraw your consent at any time by notice in writing to the Conference Manager.

      Covid Safety Guidelines

      Under the Queensland Government guidelines, from 17 December 2021 all patrons visiting the Cairns Convention Centre are to be fully vaccinated. If you are 16 years or over, you will need to carry proof of your vaccination status and be prepared to show this upon request.

      Cairns Convention Centre is operating under a Site Specific COVID Safe Plan approved by Queensland Health. The Plan is integrated with ASM Global – VenueShield, the highest standard hygiene protocol, rolled out across 325 venues world-wide.

      In order to meet the needs of our changing environment, the Centre has also developed the Cairns Convention Centre Safe Event Guidelines. This document encompasses all the necessary health and hygiene safeguards to enable events to be held in a safe and secure environment.

      Check-In QLD APP

      The Centre uses the Check-In Queensland Government app for faster, easier and more accurate contact tracing. All attendees entering the venue are required to check-in on arrival using the app.

      Attendees to the Centre will need to download the App to register their details prior to accessing the venue.
